Office Manager

Responsibilities and Duties:
Maintain required data within the transportation department personnel records; ensure compliance with federal, state and local mandates in the maintenance of such records.
Maintain and manage transportation payroll for accuracy of employee time and field trips.
Monitor personnel leave and sickness status and ensure all requests and other required documents are submitted as required.
Ensure all bus routes and shuttles are covered by either contracted, substitute drivers, or attendants.
Manage the process of job posting and ensure the assignment of routes to eligible bidders.
Ensure compliance with federal, state and local mandates relative to CDL and physical exam requirements for drivers and attendants.
Coordinates, schedules and follows-up to ensure PTS compliance with all aspects of the federally mandated per-employment, post-accident and random drug and alcohol-testing program. Manages annual random drug-alcohol testing program and works with drug testing contractors to schedule and serves as on-site testing coordinator.
Assist with the planning and implementation of routes, schedules, and tracking using a computerized database. Download student data from the district student database and update transportation operating systems.
Assist the field trip coordinator with processing field trips, including; processing requests, assigning drivers, assigning buses, maintaining records and billing customers.
Assist the transportation supervisor in tracking and placing all special needs students on required routes, and inform drivers of updates and changes.
Tablets: Responsible use Policy and table assignment. Operate and maintain GPS and all related programs includes: E-Link, Versa Trans, RP Management, My Stop App. Operate office equipment (Microsoft Office, Google Programs, and Routing Programs).
Comply with all safety policies of Portage Township Schools, federal, state and local regulations. Other duties as assigned by the transportation director, supervisor, or office manager.
Qualification Requirements:
Possess a valid Indiana CDL Class B.
Work well with others and accept constructive criticism. Keep your composure under pressure in a fast-paced environment.
Present a neat, uncluttered, professional appearance and work area. Organizational skills are critical.
Ability to work accurately and productively with frequent interruptions.
Ability to speak clearly and be understood while using the radio.
High school diploma or college degree, three years related experience and/or training; or equivalent combination of education and experience.
(3) years’ experience with school transportation or demonstrate an understanding of operations.
Ability to read and interpret materials, maps, such as safety rules, operating instructions and procedure manuals.
Ability to maintain a high level of confidentiality.
Possess strong and above average computer skills, display ability to learn and work with all PTS programs (Versa Trans, PowerSchool, Frontline, Bus Conduct, Vector Training, GPS, Excel, Google, Microsoft Word, etc.) including those programs installed on the Transportation Department network. A test of PTS programs will be given to applicants to determine proficiency for related job skills.
Attend and successfully complete all PTS assigned educational training by the transportation director or supervisor.
